Privacy Policy

MAGZ Expenses is an internal business expense-recording service used by authorized employees and administrators. This policy explains what information the service handles and how it is used.

Information we collect

We collect the information entered when an expense is submitted, including employee name, purchase date, job, vendor, expense category, amount, payment card label, notes, and receipt images. We also keep account and security information needed to control access, such as employee identifiers and protected PIN records.

QuickBooks Online information

When an administrator connects QuickBooks Online, MAGZ Expenses retrieves customer job and sub-customer names so employees can select the correct job. The service stores the connection identifiers and encrypted authorization tokens required to maintain that connection. It does not request banking, payroll, or payment-card account data from QuickBooks.

How information is used

Information is used to record, review, categorize, and export company expenses; match purchases to jobs; prevent unauthorized access; maintain the service; and meet business recordkeeping obligations. We do not sell personal information or use it for third-party advertising.

Sharing and service providers

Expense information is available to authorized company administrators. Data may be processed by service providers needed to operate the application, including Cloudflare for hosting and storage and Intuit when QuickBooks Online is connected. Information may also be disclosed when required by law or to protect the company, its employees, or the service.

Retention and security

Records are retained for business, accounting, and legal needs and are deleted or anonymized when they are no longer required. We use reasonable administrative and technical safeguards, including access controls, encrypted connections, and encryption of QuickBooks authorization tokens. No internet service can guarantee absolute security.

Your choices

Authorized administrators can disconnect QuickBooks Online from the Admin page. Employees who need to review, correct, or request deletion of information should contact their company administrator. Some records may need to be retained for accounting or legal reasons.

Changes

We may update this policy when the service or legal requirements change. The effective date above will be updated when changes are made.
